This notice describes the main Totally Vacations website, its Start Planning form, budget calculators, destination guides and private advisor workspace. Our separate Qualification Center privacy notice describes the honeymoon questionnaires.
Information you share
The Start Planning form collects your name, email address, optional phone number, vacation type, advisor preference, number of travelers, travel dates or window, optional budget and the notes you choose to provide. It also records your consent to being contacted about the inquiry.
Please do not include payment-card details, passport numbers, medical records or diagnoses. You may describe accommodations or travel preferences you want us to consider without sharing detailed health information.
How your inquiry is used
Authorized Totally Vacations advisors use your inquiry to respond, discuss your travel plans and keep private follow-up notes and inquiry status. Submitting the form does not book travel, require a purchase or subscribe you to marketing emails.
The completed inquiry is stored in our website database. New-inquiry alerts sent to our agency inbox contain the inquiry reference and a private dashboard link, not your answers. Website hosting, database and email providers process information needed to operate these services.
The form does not automatically send your answers to travel suppliers. If you move forward with a quote or booking, we may need to share relevant information with selected providers to arrange the services you request. We will discuss those arrangements as planning progresses.
Website sessions and security
We use essential session cookies for form security and advisor sign-in. Technical information, such as IP addresses in server logs and pseudonymous identifiers for submission and login limits, helps operate and protect the site. The private advisor area is restricted to authorized accounts. HTTPS and access controls help protect information, but no online system can guarantee complete security.
Budget calculators and destination guides
Budget calculations run in your browser. The calculators do not submit the amounts you enter to our inquiry database. If you print or save a guide or budget as a PDF, that file is managed through your browser and device.
Published guides and certifications are public website content. Draft guides, unpublished revisions, inquiry records and private advisor notes are not displayed as public pages.
Outside websites and affiliate links
Links to tours, excursions, resort day passes and other providers take you to independent websites with their own privacy practices. Some links include affiliate tracking and may earn Totally Vacations a commission when you book. Review the provider’s information before sharing personal details or making a purchase.
Retention and your choices
We keep active inquiries while assisting you. For inactive inquiries that do not result in a booking, our policy is to review and delete the active record after approximately 12 months without meaningful activity, unless an ongoing business or legal need requires keeping it longer. This is a manual review, not an automatic deletion process. Booking-related records may need to be kept longer. Copies can remain temporarily in backups, technical logs or previously delivered emails under their retention cycles.
You can leave optional fields blank. To request access to, correction of or deletion of your inquiry, email info@totallyvacations.net. We may need to verify that the request concerns your information. Please do not send passwords or sensitive identity documents with your initial request.
